OBJECTIVE
This policy describes the Clubs guidelines with regard to access to and disclosure of electronic mail messages sent or received by members with use of the email system
APPLICATION
This policy is applicable to all members of the Kaiapoi Netball Club
DEFINITION OF EMAIL AND SOCIAL MEDIA
Emails are messages distributed by electronic means from one computer user to one or more recipients via a network.
Social Media is websites and applications that enable users to create and share or to participate in Social Networking
ACCESS TO INFORMATION
In all circumstances the use of all telephonic and electronic mail messages or communications by members shall be considered and regarded as for Club use only
The Club respects the individual privacy of its members however member privacy does not extend to the members work related conduct of the use of the Clubs provided equipment or supplies
The electronic mail system has been installed to facilitate Club communication
Although the Administrator has an individual password to access the system it belongs to the Club and the contents of email communication are accessible at all times by
Executive Committee for any Club business purpose
These systems may be subject to periodic unannounced inspections and should be treated like other shared filing systems
All systems passwords and encryption keys must be available to Executive
Committee and you may not use passwords that are unknown to the Executive Committee or install encryption programmes without divulging, upon request, encryption keys to them
All email messages are the Clubs records. The contents of email, properly obtained for legitimate Club purposes, may be disclosed within the Committee, without your permission. Therefore, you should not assume that messages are not confidential
